I. Introduction

The Office of Academic Affairs at Nam Can Tho University was established under Decision No. 15/QĐ-CTHĐQT-ĐHNCT on June 12, 2013, issued by the Chairman of the Board. Its predecessor was the Training Department. The main function of the Department is to assist the Board of Directors and the Rectorate in orienting and developing university training activities, organizing their implementation, and supervising the entire teaching and learning process across all types of undergraduate training at the University.

II. Functions and Duties
1. Functions

The Department performs the function of advising the University Council and the Rectorate on the management and development of training programs at various levels (postgraduate, undergraduate), types (full-time, transfer), part-time, distance learning, guided self-study, etc., and fields of study. It is responsible for organizing, managing, and overseeing the implementation of training programs; ensuring quality and student affairs within its designated authority; and participating in career counseling and admissions for various levels, fields, and education systems, as well as other tasks assigned directly by the University Council and the Rectorate.

2. Duties

Based on the functions of the Office of Academic Affairs, the leadership of the unit has established specific goals and tasks for the department.

Building Plans and Developing Training Programs

  • Coordinate with academic faculties to develop and implement training plans for various academic programs.
  • Develop teaching and learning schedules, as well as ensure the availability of physical resources (lecture halls, practice fields, teaching equipment, etc.) to support instruction and learning activities.
  • Take the lead in organizing the reception and allocation of newly admitted students into their respective majors in accordance with the University’s regulations.
  • Collaborate with academic faculties to assign lecturers, implement teaching plans, and prepare teaching and learning timetables, as well as exam schedules for various academic programs.
  • Coordinate with relevant units to implement admission plans, organize opening ceremonies, and manage graduation processes for all levels and types of training programs at the University.

Developing and Organizing the Implementation of Training Plans

  • Coordinate with academic faculties to develop and implement training plans for all academic programs.
  • Develop teaching and learning schedules, and ensure the availability of necessary physical resources (lecture halls, practice fields, teaching equipment, etc.) to support teaching and learning activities.
  • Take the lead in organizing the reception and allocation of newly admitted students into academic majors in accordance with the University’s regulations.
  • Collaborate with academic faculties to assign lecturers, implement teaching plans, prepare class schedules, learning timetables, and exam schedules for all academic programs.
  • Coordinate with relevant units to carry out admission plans, organize opening ceremonies, and manage graduation procedures for all levels and types of training offered at the University.

Academic Affairs Management

  • Manage records and academic profiles of visiting lecturers.
  • Monitor and manage lecturers’ teaching hours.
  • Compile and verify standard teaching hours and complete the procedures for teaching hour verification and payment.
  • Manage students’ academic results; organize the review process for academic continuation, suspension, withdrawal, and academic result retention; issue transcripts and study-related certificates to students.
  • Organize graduation assessments, issue diplomas and training certificates, and manage records of students’ diplomas and certificates.
  • Coordinate with relevant units to organize academic performance awards and disciplinary reviews for students in associate, undergraduate, and postgraduate programs.
  • Collaborate with relevant units to evaluate teaching quality of lecturers.

Other tasks

  • Coordinate with departments, faculties, and affiliated units within the University to manage student tuition fees.
  • Perform clerical work, documentation, archiving, and statistical reporting to support the management activities of the Department and the University.
  • Collaborate with the Department of Inspection to conduct periodic inspections in accordance with the University's regulations.
III. Personnel

The Office of Academic Affairs currently consists of 07 personnel, including 1 Acting Head of the Department, 03 Deputy Heads of Office, and 5 specialists.

IV. Activities

Over the past 10 years of establishment and development, the Department has served as an advisory unit in the construction of regulations, rules, and management documents. Together with the faculties and other departments, it has closely coordinated in training, enrollment, ensuring the quality of education, and other tasks as assigned and directed by the University Council and the Rectorate. For several consecutive years, the Department of Academic Affairs has been recognized as an excellent labor collective and an advanced labor collective. Individuals have also been acknowledged for their outstanding achievements in fulfilling their duties.

V. Development Orientation

Along with the continuous development of society, the leadership and staff of the Office of Academic Affairs have consistently fulfilled their assigned duties over the past years. At the same time, they have been formulating key objectives for the coming years.

These objectives include: continuing to effectively manage academic training; efficiently applying software tools and information technology in management and training tasks; strengthening and completing the departmental personnel structure; collaborating with other university units to launch new academic programs that meet societal needs; working with academic faculties to develop, revise, and accredit training programs in line with practical demands; enhancing staff development in management; improving professional training capacity for departmental staff; promoting a cultured lifestyle and scientific working environment; and coordinating with other departments in student recruitment counseling, university communications, as well as participating in social and charitable activities.
